Safeguarding and Reporting (policy)
How to report concerns, what we do and who to contact.
Safeguarding and Reporting: This policy explains how Spark keeps people safe, how to report concerns and how we respond. It applies to members, facilitators, volunteers and staff.
Principles
- Safety first, immediate safety where necessary.
- Confidentiality, sharing only where needed for safety or by law.
- Timely response, acknowledging non-urgent reports within 24 working hours.
- Transparency, telling people how we will use information unless it increases risk.
What to report
Report any concern about harm, exploitation, harassment, coercion, self harm, threats or criminal behaviour. Also report concerns about facilitators or staff.
How to report
- In a live session, tell the facilitator or message a moderator privately.
- DM a facilitator in Skool.
- Email
daria@neurodiversityspark.comorsafeguarding@neurodiversityspark.comwith a factual account, dates and names where possible. - For immediate danger call 999.
What we do next
1) Acknowledge receipt
Acknowledge receipt within 24 working hours for non urgent reports.
2) Safety and Support
Carry out a safety check and offer immediate support.
3) Log Incident
Record a factual incident log, stored securely with restricted access.
4) Review
Safeguarding lead reviews and decides next steps: internal action, referral to statutory services or specialist support.
5) Inform
Inform the reporter unless doing so would increase risk.
6) Record and Update
Record outcomes and learning, and update practice if needed.
Confidentiality and data
Safeguarding records are kept securely and access is restricted to the safeguarding team. We retain records in line with our data retention policy. To request access or removal of data contact gary@neurodiversityspark.com.
Support and referral
We will signpost and refer to local services as needed. We work with statutory services when necessary.
Training and review
All facilitators and staff must complete safeguarding training. This policy is reviewed annually or after a serious incident.
